You must take minutes of each formal performance review meeting that you hold. Our document contains prompts to include all relevant information and acts as your proof that you have covered all the matters that should be included within a performance review meeting.

Our Minutes of Performance Review Meeting document is intended to ensure that the performance review meeting is conducted in a full, fair and transparent manner. This is because the fairness of any performance management process used will be a key factor in establishing whether any subsequent capability dismissal is fair. The minutes contain the key information that you will need to record for every performance review meeting, e.g. who is present and whether the employee opted to be accompanied. Following the meeting, ask the employee to read the typed-up minutes and then sign either to agree them as they are or with their comments or amendments on them. If the employee makes any amendments, state next to their changes whether you agree to them. It's important that the minutes aren’t being taken by the chair of the meeting as that person needs to be controlling the meeting at all times. So, you should also have a note taker present to take a detailed attendance note of proceedings. That attendance note can then be used in our document as the record of the content of the meeting.
