Workplace security clause

You can deal with physical security issues relating to access to your workplace by inserting a workplace security clause into employment contracts.

Physical security measures

All workplaces have physical security measures in place to protect both property and staff. To ensure secure access to your workplace, you may issue your employees with keys, identity cards, security passes or fobs, door access codes, alarm codes or a combination of such mechanisms. You’ll also want to ensure that your staff are aware of the importance of keeping keys, cards, passes and fobs safe and codes confidential, so as to prevent unauthorised access to your business premises.

Workplace security clause

Our Workplace Security Clause, which can be used alongside our Personal Property Clause if you wish, can be inserted into employment contracts (or written statements of employment particulars) and it provides optional sub-clauses covering security passes/fobs and identity cards, keys and door/alarm access codes, depending on the means of access to your workplace. Alternatively, you can, if you prefer, adapt our clause into a workplace security policy to be inserted into your staff handbook. All the sub-clauses follow a similar theme of providing that the employee is responsible for keeping the item/information secure or confidential and they must not give or loan it to anyone else, whether that’s to another employee or to an outside third party (with the exception of their line manager). The loss or theft of physical cards, passes, fobs and keys must be immediately reported, and they must also be surrendered on termination of employment. Finally, there is an optional sub-clause aimed at ensuring that authorised visitors aren’t left unattended, and anyone acting suspiciously is promptly reported. If you have specific processes in place for staff to allow authorised visitors into your premises, you can add those in too.

Register

In addition to our clause, you can issue our Register of Keys and Alarm Codes for each employee to sign to enable you to keep a record of what security items you’ve provided to them.
