Hybrid working weekly attendance sheet
Although you might have put in place agreed hybrid working arrangements, there’s a risk some of your employees may not be adhering to them. One option is to ask staff to complete a hybrid working weekly attendance sheet.
Failure to adhere to arrangements
Most agreed hybrid working arrangements require an employee to work in the office for 40-60% of their working time and then they can work from home for the remainder of their working time. However, it seems that large numbers of staff are still failing to comply with their agreed arrangements by working from home more often than they should, and sometimes this is with their line manager’s knowledge. Whilst you can legitimately clamp down on this if it’s happening in your workplace, you do need to find out about it in the first place, and that envisages having some form of monitoring system in place.
Weekly attendance sheet
One simple option here would be to ask employees to complete and submit to their line managers a hybrid working attendance sheet at the end of each working week. Managers can then pass these up to you for assessment. Our Hybrid Working Weekly Attendance Sheet asks the employee to specify where they have physically worked on each of their working days in the week, and we’ve made this easy through the use of four single-letter codes covering: (1) working in the office (or at other company premises); (2) working from home; (3) visiting clients or attending external meetings/training; and (4) authorised absence. The sheet shouldn’t take the employee more than a minute or so to complete each week. Authorised absence is intended here to cover short-term absences of a day or two such as annual leave, compassionate leave or time off for dependants. We’ve made it clear that the employee doesn’t need to complete the sheet if they’ve been off for the entire week - this is about monitoring weekly adherence with hybrid working arrangements; it’s not about recording absences generally. We’ve also stated that part timers need only complete the boxes that represent the days of the week they work. The completion of the sheet should ensure that employees stick to their hybrid working arrangements as they’ll know you’re then taking a close interest in their whereabouts. Plus, the sheet makes clear that providing false information is a serious disciplinary offence, so they shouldn’t be tempted to lie.
